one unforgettable night.

EVENT PROPOSAL

1. Property Access & Entry

During our initial site visit, we discovered that the primary entrance to the property is accessed through a different address than the one originally provided.

Observation: The correct entrance location will need to be verified and communicated to all vendors, staff, contractors, and attendees before the event.

Action Required: Confirm the proper entrance address and establish clear directional signage to prevent confusion or traffic disruptions.

2. Barn Structure & Safety

Two concerns were identified during the barn inspection:

  • Barn Door: The barn door is currently off its track and should not be operated until repaired or secured.

  • Wasp Activity: Wasp activity was observed inside or around the barn. Caution should be exercised when accessing the structure.

Action Required: Address the wasp activity and secure the affected door prior to event setup. Limit access to potentially hazardous areas until these issues are resolved.

3. Septic Area & Vehicle Restrictions

An area located downhill on the property was identified as a septic-related area.

Site Restriction: No vehicles should enter, drive across, or park within this designated area.

Pedestrian access is preferred over vehicle access where appropriate; however, the area should first be confirmed safe for foot traffic.

Action Required: Establish clear boundaries, signage, and cones to prevent vehicle access. Confirm any areas that must remain completely restricted.

4. Septic Outlets & Ground-Level Hazards

Several small white septic outlets or access points were observed throughout the property.

These features present potential tripping hazards and may be vulnerable to accidental contact with vehicles or event equipment.

Action Required: Identify and mark each outlet with highly visible traffic cones or protective markers before event operations begin. Maintain clearance around all septic infrastructure.

5. Haunted Trail Inspection

Our operations team completed a full walking tour of the proposed haunted trail.

Inspection Status: Initial walking survey completed.

The trail appears suitable for further event planning, subject to a final safety review.

Action Required: Conduct a second trail inspection prior to the event to identify and clear obstructions, fallen branches, debris, and any other potential hazards. Verify that the walking route remains accessible and appropriately marked.

6. Grass & Property Maintenance

During the inspection, we observed that the grass is taller than preferred for the event layout.

Shorter grass would improve visibility of ground-level hazards, pedestrian comfort, and the preparation of parking and activity areas.

Action Required: Arrange for the grass to be cut prior to the event, particularly in the parking, vendor, gathering, and pedestrian circulation areas.

7. Land Elevation & Sloping Terrain

The property contains sloping and uneven terrain in certain areas.

These conditions must be considered when positioning vehicles, vendor equipment, movie screens, seating, and guest activities.

Action Required: Prioritize relatively level ground for parking and installations. Avoid placing equipment or vehicles in areas where slopes may create instability or limit safe movement.

8. Barn Equipment & Available Resources

During the walk-through, we were informed that tables and certain other resources stored in the barn may be used for the event.

Agreed Understanding: For The Culture Fest may utilize approved available resources and will return all borrowed items to their original locations following the event.

Action Required: Confirm which items are available and document their condition before use.

9. Fire Pits & Available Wood

We were informed that wood available on the property may be utilized for the proposed fire pit areas.

The event layout currently anticipates two designated fire pit gathering areas.

Action Required: Confirm suitable fire pit locations, establish safe separation from vehicles, structures, trees, and pedestrian routes, and arrange fire supervision and extinguishing equipment. Use of open flames remains subject to applicable fire restrictions and safety requirements.

10. Overall Site Assessment

The initial property walkthrough has been completed, including a full walking inspection of the proposed haunted trail.

Preliminary Assessment: The property offers promising space for the proposed Thriller Night festival, including drive-in movie viewing, a centralized vendor area, outdoor gathering areas, and a haunted trail experience.

Several maintenance, access, and safety matters require attention prior to the event. These observations do not necessarily prevent use of the property, they will be addressed

For The Culture Fest will conduct a follow-up site assessment to verify that identified concerns have been resolved, finalize event placement, and confirm the site's readiness.

Our operational priority is to create an enjoyable, organized event while respecting the property, protecting its infrastructure, and returning borrowed resources and event areas to their agreed condition after use.

THE VISION

More Than a Movie. An Experience Worth Remembering.

Imagine arriving at a beautiful property surrounded by acres of trees dressed in the rich colors of autumn. As daylight fades, the landscape begins to transform.

Warm lights illuminate the pathways. Music fills the air. The aroma of freshly prepared food drifts from a village of local vendors. individuals, couples, and groups of friends explore the grounds while laughter, conversation, and excitement create an atmosphere of celebration.

In the distance, a giant outdoor movie screen glows against the night sky. Nearby, guests gather around fire pits, sharing stories and enjoying the warmth of the flames. Others venture toward a mysterious, illuminated trail winding through the surrounding woods.

This is the experience we envision for Thriller Night 2026.

Our goal is to transform an ordinary fall evening into an extraordinary community gathering combining the nostalgia of a classic drive-in movie with the energy of a fall festival and the excitement of Halloween.

We want guests to feel as though they have entered an entirely different world, while maintaining the property's natural character and beauty.

Thriller Night 2026

Property Use Proposal

Property Use & Event Operations Proposal

For The Culture Fest proposes hosting our 3rd Annual Thriller Night Drive-In Movie Festival on Saturday, October 24, 2026, from 5–11 PM. The experience brings together outdoor movies, food vendors, music, and Halloween activities. Our goal is to create a memorable community event while respecting your land and maintaining clear communication throughout preparation, execution, and cleanup.

1. Property Layout

We propose using an aerial image of your property to establish the event layout together. It will identify the movie screen, parking, vendors, restrooms, proposed fire pits, and haunted trail. The layout will also show emergency access and restricted areas, including septic infrastructure, so our team knows exactly where activities and vehicles are allowed.

2. Parking & Traffic

Our team will organize vehicle arrivals, direct guests into designated parking rows, and keep entry, exit, and emergency routes clear. Final vehicle capacity will depend on the usable space and ground conditions. Soft or wet areas will be excluded from parking, and attendance will be managed within the capacity established by the approved layout.

3. Safety & Emergency Response

Before opening, we will designate an on-site safety contact and establish the first-aid location, emergency access route, and gathering point. Security and event staff will receive instructions for reporting concerns and stopping activities when necessary. Any fire activity will depend on agreed locations, appropriate supervision, and suitable conditions.

4. Schedule & Property Access

The event is scheduled for 5–11 PM, with property access originally proposed from 4 PM until midnight. We would like to confirm that this window allows enough time for equipment setup, vendor arrivals, parking preparation, breakdown, and cleanup. Any earlier deliveries or later equipment collection will be arranged with you in advance.

5. Restrooms, Sanitation & Cleanup

Our team will coordinate restroom and handwashing arrangements appropriate for the final attendance, with locations agreed before delivery. Waste collection points will serve the vendor and guest areas, and vendors will be responsible for maintaining their spaces. Our cleanup team will collect litter, remove event waste, and inspect the grounds before handoff.

6. Lighting, Power & Sound

We will plan lighting for entrances, walking routes, restrooms, and other areas guests use after dark. Power sources and cable routes will be established in advance, with cables protected wherever people or vehicles cross. Sound equipment will face the event area, with amplified programming ending at the agreed cutoff.

7. Weather Contingency

Our operations team will monitor weather and ground conditions before and during the event. Heavy rain, strong winds, lightning, or unsafe terrain may require activities to pause, close, or be canceled. The designated event lead will coordinate those decisions and communicate instructions to the owners, staff, vendors, and guests.

8. Shared Responsibilities & Site Preparation

For The Culture Fest proposes managing event setup, vendors, guest traffic, security, and cleanup. We ask the owners to help identify property boundaries, septic locations, existing hazards, and restrictions. Together, we will assign responsibility and completion dates for grass cutting, trail clearance, wasp treatment, securing the barn door, and any borrowed equipment.

9. Property Protection & Written Terms

Before the event, A written agreement will establish approved areas, access hours, equipment use, any property-use payment, and how event-related damage will be addressed. A final walk-through after the event will confirm cleanup and identify any remaining restoration work with photos and an email with post event report.

10. Approval & Coordination

We request your approval to move forward with the event, subject to agreement on the layout, access schedule, responsibilities, and property-use terms. Michael “Mike” Sayers, one of the founders of For The Culture Fest and the operations lead for Thriller Night, will coordinate event planning with you. Final arrangements will be documented so both sides understand what to expect.

Thank you for considering this opportunity. We appreciate the trust involved in welcoming our event onto your property and look forward to creating an experience we can all feel proud of.
